Definitions

'Licensed Professional Engineering Institution’ – a professional engineering institution that has satisfied the Engineering Council’s requirements to allow them to access and submit candidates for inclusion on the National Register of professional engineers and technicians.

'National Register’ – a secure database that is used and accessed only by authorised Engineering Council staff in order to facilitate the registration of individuals.

What is personal data
Personal data is any information that can be used to identify an individual.

What personal data do we collect
The personal data that the Engineering Council collects and processes about you is:

Personal data type supplied by you: N/A

Personal data supplied by someone else:

• Forename(s) and surname
• Date of birth
• Address
• Email address
• Academic qualifications
• Institution membership number
• CV/employment history
• Record of continuing professional development.

Please note that the e data listed above is submitted to us by the licensed professional engineering institution that you are registered with and have chosen to apply for international registration through via post or email. In regards to renewal applications the data listed above is provided directly by you to the Engineering Council.

What we use your personal data for
The personal data we collect will be used for the following purposes:

• To submit your application to the International Registration Committee (IRC) for assessment.
• To create a record of your international professional application/registration on the International Register which includes automatically assigning a unique registration number.
• In the event that you submit an appeal based on the outcome of the IRC assessment decision, your application may be passed onto the International Advisory Panel (IAP) to review the appeal.
• To generate a certificate which confirms your international registration via the UK Section of the International Register.
• To maintain the data in your record to ensure that it is accurate and up to date via regular data reconciliations between the licensed professional engineering Institution that you are registered through and the Engineering Council.
• To invite you to renew your international registration prior to your renewal date.
• To record sanctions applied to international registrants in an economy in which the engineer is registered.
• To provide international registration status information (e.g. active as in currently registered or inactive if the registration has lapsed) to any person or organisation
  (engineering organisation, regulatory authority, recipients of services, e.g. employer, client) having a legitimate need for seeking verification.
• For statistical generation, reporting and analysis of the data held on the International Register. All reports are anonymised so that they do not contain any personal data.
• Your data may be transferred to the organisations which are signatories to the International Professional Engineers’ Agreement. A list of the organisations and their websites can be found on the International Engineering Alliance website, http://www.ieagreements.org/agreements/ipea/members/.

What is the basis for processing your data
The processing of your personal data by the Engineering Council is conducted based on legitimate interest in order to facilitate your registration and all associated processes as outlined in 'What we use your personal data for'

Special or sensitive data
The Engineering Council does not collect or process special categories of personal data or sensitive data in relation to registrants such as race, ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, etc.

Sharing your data
The Engineering Council will share your personal data to the following third parties, without first obtaining your consent, for the following purpose(s) as part of our processing activities:

The Engineering Council will not share or pass on your personal information to any other organisation.

Retention
The Engineering Council will continue to hold the record of your registration whether current or lapsed indefinitely. However, paper forms or files containing your data received from the Licensed Professional Engineering Institution(s) that you are registered through in relation to the processing activities described in 'What we use your personal data for' will retained for a period of 12 months from the panel date. After such time these files will be securely disposed of.

Data Security
All data held or processed by the Engineering Council is held in a secure database managed by the Engineering Council.
